Job Purpose

To assist and provide administrative support and the execution of duties within the Academic Administration Department for processes relating from Applications to Graduation, in accordance with legislation, policies and procedure prescriptions, whilst always rending an effective and efficient customer service.

Job Knowledge, Skills and Experience

Minimum Requirements:

  • Matric qualification or related a tertiary qualification
  • At least 1 year of administrative experience in Higher Education institutions

Recommended:

  • Integrator Student Management system (ITS) knowledge and experience will be an advantage.

Key Performance Areas / Principal Accountabilities

  • Adhere to office rules and proper execution of general office duties.
  • Liaison with internal and external stakeholders.
  • Adhere to legislative prescriptions, rules, policies and apply correctly.
  • Complete duties assigned by Senior staff members.
  • Assist with the filing of student’s records, both hard copies and electronic versions. Comply with the legislation, ARC and AGC document management file plan and retention schedule or any guidelines provided.
  • Prompt response to all kind of enquiries with the focus on good customer services.
  • Assist ARC Staff members with the responses to the Admission e-mail inbox
  • Assist with the checking of and following up of outstanding supporting documentation by liaising with the applicant directly.
  • Assist applicants reporting to the on-campus dedicated online application venues including assistance with the login procedure.
  • Assist with the retrieval of auditor’s samples and printing proof of registrations as required.
  • Assist the AGC department during graduation ceremonies
  • Assist the AGC department with ad hoc duties as and when required.

Responsibility of temporary staff assisting the international section:

  • Responsible for the filing of international registration-related documentations as prescribed by the Department of Home Affairs.
  • Assist the permanent staff members by acting as liaison officers with Department of Home Affairs and Visa Facilitation Centre officials when required.
  • Assist permanent staff members with confirmation of registrations, verification of letters with embassies/ Home Affairs/ Refugee Centers.
  • Assist with international enquiries.
  • Assist the International Senior Administrators with duties assigned by them as and when required.
