Purpose of the Role
The main objective of the Contract Administrator: Forwarding position is to reconcile and capture loads onto the Agris System to ensure accurate invoicing to clients and timely payments to transport vendors.
Minimum Job Requirements
To be considered for this position at AFGRI, candidates must meet the following baseline criteria:
Required Education & Training
- Grade 12 (Matric certificate or equivalent qualification).
Required Minimum Work Experience
- 2 to 5 years of contract administration experience specifically within an agricultural environment.
Technical Knowledge & Competencies
- Proven computer literacy, particularly in MS Office.
- Solid foundational knowledge of the agricultural grain sector.
- Previous understanding or experience with the AGRIS system is highly advantageous.
- Strong verbal and written communication skills.
Key Performance Areas & Duties
The successful candidate will handle a variety of daily, weekly, and monthly tasks to streamline AFGRI’s logistics and administrative pipelines. Your responsibilities will include:
- Load & Tonnage Tracking: Monitoring contract delivery movements using the Daily Open Orders Report and Ticket Report. Manually capturing tonnages ordered or delivered to non-AFGRI silos (3rd Party transactions).
- Reconciliation: Reconciling all deliveries between loading and off-loading locations, capturing destination tonnages, and matching loads in shipment to facilitate accurate and timely invoicing.
- Direct Deliveries: Capturing tonnages on contracts delivered on a Direct Delivery basis and matching purchases and sales.
- Reporting: Reporting anomalies, deviations, non-deliveries on contracts, and any stock (tonnage and grade) differences, as well as initiating claims from either the Transporter or Silo operator.
- Contract Management: Balancing and closing off Sales contracts in Agris, reconciling and closing off IC contracts, and extending contract delivery end dates at month-end where applicable.
- Query Resolution: Following up and resolving any queries on loads invoiced (within a 2-working-day turnaround time) and assisting Admin Assistants with transport queries.
- System & Vendor Management: Monitoring AGRIS system integrations and maintaining accurate transport Shipper IDs and freight rates in Agris to minimize queries and stoppages.
- Logistics Planning: Liaising with Traders & Logistics operators to plan upcoming monthly and/or ad hoc deliveries.
- Deal Sheet Preparation: Preparing Agris contracts via Deal Sheets for IC contracts in time for the delivery date and issuing instructions/orders on time for Logistics Operators to execute.
- Payment Processing: Ensuring all loads are timeously captured so that Admin Assistants can process transport tickets/vouchers to SAP for payment within agreed terms.
- Financial Escalations: Providing necessary documentation to the manager when clients are handed over for non-payment.
