​Job Purpose Summary

​The successful Asset Administrator will take full responsibility for the administrative duties within the Business Change and Technology (BCT) sector. Key functions include conducting physical asset counts, maintaining comprehensive databases for software licenses and asset warranties, and ensuring the absolute integrity of the organization’s overall IT asset registry.

​Minimum Requirements

​To be considered for this role, candidates must meet the following educational and experiential benchmarks:

Qualifications

  • ​A minimum of a Diploma in IT and Finance.
  • ​An Asset Management or relevant Finance certificate will be considered an added advantage.
  • ​An ITIL Foundation Certificate will be considered an added advantage.

Experience

  • ​At least 2 to 3 years of direct experience in Asset Administration or Asset Management.
  • ​Previous experience within Supply Chain or Finance environments is advantageous.
  • ​Hands-on experience working with ERP systems is highly beneficial.

​Duties and Responsibilities

​The role comprises several critical focus areas, spanning day-to-day operations, auditing, and continuous workflow improvement:

IT Operational and Asset Management

  • ​Manage the entire lifecycle of corporate IT assets from procurement to disposal.
  • ​Track, monitor, and renew asset maintenance agreements and manufacturer warranties.
  • ​Consolidate and reconcile received assets that are returned daily, logged as repairs, or processed due to staff resignations.
  • ​Log all asset-related service requests and incidents accurately within the company’s designated service management tool.
  • ​Capture precise data regarding newly acquired assets from the procurement pipeline into an auditable, clear, and comprehensive Asset Register.
  • ​Review, revise, and input data into standard Asset configuration policies.
  • ​Interact and collaborate effectively with the Finance, Facilities, and Risk Divisions as required.

Reporting and Auditing

  • ​Conduct rigorous monthly and quarterly physical and digital audits of IT asset stock levels and central databases.

Processes and Continuous Improvement

  • ​Manage communication and correspondence with internal asset request sources to keep stakeholders updated on the progress of their requests.
  • ​Regularly review and update existing Asset Management processes and procedural documentation.
  • ​Coordinate asset management procedures and input sessions with relevant departmental divisions.
  • ​Develop proactive asset needs assessments, acquisition management strategies, and operational or disposal plans.
