The Quality Council for General and Further Education and Training (Umalusi) is a statutory body mandated by legislation to quality assure education provision in General and Further Education and Training.

Job Description

Main Duties: 

Support the planning of workshops, user training, projects and meetings of the sub-unit. Support the implementation of the operational plan of the sub-unit. Support the management of contract staff, tracking of audits, and any other Quality Assurance needs. Manage the logistical arrangements for the sub-unit activities. Establish and maintain an effective filing system.

Processing of claims, photocopying, preparing of meeting documents, and emailing of documents. Manage incoming and outgoing mail. Improved use of MIS for assigning tasks to contract staff, capturing and tracking claims, and liaising with the finance unit.

Logistical arrangements and preparation for meetings and related activities. Preparing travel arrangements and liaising with the travel agencies for flight bookings, accommodation, and car hire for the sub-unit team members and contract staff according to applicable and related policies. Draft submissions, letters, and memoranda for management consideration and approval.

Tracking of the budget for each activity of the sub-unit. Manage the database of E&A contract staff and clients. Take minutes at meetings, type and distribute these to the sub-unit members and/or relevant parties. Management of the filing system of the unit.

Maintain electronic and hard copy files for the sub-unit as per file plan. Manage the flow of documents in and out of the sub-unit office. Keep the sub-unit registers (mail, leave, submissions and movement) up to date. Screen telephone calls and record messages.

Job Requirements

Requirements: 

  • NSC or NC(V) Level 4 or NSC (Colleges) or SC, SC(Amended) or equivalent NQF Level 4 certificate with language(s).

Required Skills: 

  • Communication skills (written and verbal). Strong computer skills (Microsoft Office and Microsoft Teams).
  • Knowledge of principles and practices of basic office management.
  • Ability to plan and organise projects, seminars, workshops, and meetings.
  • Ability to work independently and in a team.

Additional Advantages:

  • Experience as an office administrator in an educational environment.
  • A minimum of 2 years’ general office administration – preferably in an educational environment will be an added advantage.
