​Minimum Requirements

​To be considered for this permanent administrative role, candidates must meet the following criteria:

  • Education: A tertiary qualification in Finance, Accounting, or a related field.
  • Experience: Minimum of 1 to 3 years of experience working within an office or administrative environment.
  • Technical Skills: Proficient experience working with Microsoft Office, specifically MS Word, Excel, and Powerpoint.

​Key Duties & Responsibilities

​The successful incumbent will provide comprehensive office support to the Tzaneen Bakery teams and administrative support to the extended business. Your main focus will be ensuring suppliers are paid on time, general ledgers are accurately maintained, and day-to-day office systems run smoothly.

​Responsibilities are split across several core business areas:

​1. Order & Financial Administration

  • ​Placing general orders for the office, including stationery, staff refreshments, and consumables for the cash office.
  • ​Communicating all late or unrealistic delivery dates to end users and ensuring proper authorization per the LOA.
  • ​Processing all Return to Orders (RTOs) accurately, on time, and receipting them accordingly.
  • ​Sending documentation (POs, invoices, credit notes, etc.) to the head office creditors team for on-time payment.
  • ​Following up on outstanding back orders and ensuring they are receipted once delivered.
  • ​Filing all invoices, POs, and Goods Received Notes (GRNs) daily.
  • ​Keeping a listing of monthly expenses and securing supplier invoices in advance for timely payment, such as depot rental invoices.
  • ​Receiving, counting, and verifying consumable items and stationery delivered by suppliers.
  • ​Counting stationery and staff refreshments in storage weekly, and ensuring staff sign the necessary documentation to maintain accountability.
  • ​Assisting the General Ledger (GL) and Cashbook clerk with petty cash requests.
  • ​Acting as a relief cashier during busy periods and annual leave.

​2. Stock & Spares Administration

  • ​Assisting with monthly stock counts for production and distribution.
  • ​Assisting with monthly maintenance and transport spares counts.
  • ​Preparing daily stock movement reports and investigating variances.
  • ​Assisting with daily stock counts where applicable.

​3. General Office & Reception Duties

  • ​Answering the phone in a professional manner and routing calls as necessary.
  • ​Ensuring visitors are attended to by staff and do not roam the offices unattended.
  • ​Acting as a relief van sheets clerk during busy periods and staff annual leave.

​4. Data Management, Governance, & Teamwork

  • ​Ensuring Sunbake ethical standards and requirements are adhered to, and escalating non-compliance.
  • ​Capturing data accurately and regularly onto the information system for reliable reporting and trend analysis.
  • ​Sharing relevant data with supervisors to enable business decision-making.
  • ​Taking ownership and accountability for tasks while demonstrating effective self-management, planning, and prioritization.
  • ​Following through to ensure quality and productivity standards are consistently maintained.
  • ​Informing relevant parties when tasks or deadlines cannot be met and providing appropriate resolutions.
  • ​Supporting business core values and managing the expectations of colleagues and clients.

​5. Ad hoc / Other Duties

  • ​Overseeing the filing and safeguarding of records within the area of responsibility.
  • ​Compiling ad hoc spreadsheets when required.
  • ​Performing other ad hoc tasks as required by the Accountant.
